IP Paralegal (Patent Prosecution)

IP Paralegal (Patent Prosecution)
The IP Paralegal is responsible for providing technical and administrative support to attorneys, patent agents, technical specialists and clients in all aspects of patent prosecution. This position reports to the Partners.
Fully remote work setting. Must be eligible to work in the United States as either a US Citizen or Green Card holder. There is no billing requirement for our IP Paralegals.
Ideal candidate will have prior applicable patent prosecution experience. Other qualifications for PL include, but not limited to:
=> Four year degree and PL training/certificate. Applicable experience may be substituted for formal education if 2 year degree and paralegal certificate.
=> Relevant PATENT prosecution experience in a professional environment which includes progressive responsibility in managing patent matters on the prosecution side.
=> Knowledge of USPTO’s Electronic Filing System and patent rules and regulation, and USPTO-PAIR. Prior experience in executing electronic filings with the US Patent and Trademark office. Knowledge of US and PCT patent rules and procedures to prepare and file USPTO applications (i.e. provisional, non-provisional and continuing applications).
=> Knowledge to prepare and file other relevant USPTO documents (i.e. assignments, declarations and powers of attorney), Information Disclosure Statements, preliminary amendments, responses, requests for continued examination, and missing parts.
=> Prior experience issuing fee payments in accordance with applicable fee schedules.
=> Prior experience assisting with billing (Timeslips highly desirable). And proficiency with Windows-based software applications (including Microsoft Office Suite and Adobe DC)
=> Ability to prepare related client correspondence in accordance with firm/client guidelines to report accurately and timely, and to respond to client inquiries and requests, and provide status reports as directed.
=> Draft correspondence to clients regarding status of applications and patents, and reporting Office Actions. Correspond with foreign associates; oversee payment of foreign associates’ invoices.
=> Ability to assist in preparing claim amendments, to construct timelines of events, to review file history, to extract critical data and reconstruct portfolio.
=> Patent prosecution experience preferably within a law firm environment. Occasional overtime work may be necessary. Other duties as assigned may include planning, directing and reviewing of the work assigned to other support staff, as well as special projects designated by associates/partners.
=> Possess strong attention to detail with the ability to navigate multiple tasks and deadlines and ability to maintain knowledge of the status of ongoing client matters.

IP Docket Specialist
The IP Docket Specialist is responsible for providing Intellectual Property (IP) docket for Patent Prosecution and case management support to the firm as a member of the Docketing department.
IP Docket Specialist
Fully remote work setting. Must be eligible to work in the United States as either a US Citizen or Green Card holder. Occasional overtime may be necessary.
Responsibilities include, but are not limited to:
- Entering and maintaining information in the IP docket and case management software database (CPI software), calculating action due dates, and making appropriate entries into CPI (Computer Packages, Inc) system
- Performing online research via public access websites, PAIR system, USPTO, WIPO and Foreign PTO.
- Reviewing and responding to e-mail directed to the IP Docket mailbox, ensuring that original documents are scanned into the IP docket e-mail box on a daily basis. accurately and timely.
- Coordinating and participating in the distribution of daily and weekly individual dockets to attorneys, paralegals and assistants, maintaining and staying abreast of rule and procedural changes and performs follow up inquiries with timekeepers to ensure appropriate conclusions.
- Tracking critical dates and related details and delivering information to attorneys and staff.
- Preparing customized reports, maintaining the firm’s Docket in an up-to-date manner to ensure that filing dates are not overlooked.
- Identifying, recommending and documenting changes to IP docket policies, procedures, forms, etc. to provide better service and support to timekeepers.
- Coordinating with the day-to-day activities of the patent docket team, including sub-docket meetings, and firmwide weekly staff meetings
- Overall maintenance and management of the IP docketing software (CPI), working with CPI technicians as needed.
Requirements
- Minimum of two years of prior patent experience, preferably in a patent docket environment.
- Strong familiarity with the patent docketing practices, both U.S. and foreign is required.
- Energetic, self-starter with strong organizational skills and ability to manage multiple priorities.
- Able to work as a member of a larger legal team, as well as independently to manage a variety of tasks.
- Strong verbal and written communication skills are essential.
- Bachelor degree and/or paralegal certificate preferred.
- Law firm experience preferred.
